Process a WooCommerce order by verifying payment and availability, completing the promised fulfilment and recording the appropriate status. The meaning of an order status depends partly on the payment method, so read the order details and notes before dispatching goods.

01 Review the new order
Open the order and confirm customer details, items, variations, quantities, shipping method and any customer-provided note. Check payment method and transaction evidence. Processing commonly indicates an order ready for fulfilment after payment, but Cash on Delivery can use that status before money is collected.
02 Follow the fulfilment workflow
- Reconcile payment or confirm the approved offline-payment arrangement.
- Check stock and identify the exact products or service obligations.
- Prepare the shipment, download access or service delivery according to the order.
- Record useful internal progress privately and communicate necessary customer information through the appropriate channel.
- Mark the order Completed when the agreed fulfilment step is actually complete, according to the store's documented process.
- Verify any triggered customer notification and connected fulfilment record.
Should every paid order be marked Completed immediately?
No. Physical goods normally still require fulfilment, and a service may require manual work. Some virtual-and-downloadable orders can complete automatically after payment. Use the actual product and integration workflow rather than forcing every order into the same status.
What if the address needs changing?
Verify the customer's request through an appropriate private process and check whether a shipping label or external fulfilment record has already been created. Editing WooCommerce alone may not update the carrier or warehouse. Record the authorised change and avoid exposing address information in public notes.
03 Handle exceptions explicitly
For missing stock, uncertain payment or suspected duplication, pause fulfilment and investigate before charging or shipping again. Use the refund workflow for approved returns of funds; changing status alone does not necessarily move money. Reconcile stock adjustments when cancelling or refunding.
04 Keep a useful order history
Record concise facts, dates and non-sensitive references so another team member can understand what happened. Do not delete an order to tidy the queue or erase a mistake. Preserve the business record and correct it through the supported order actions and the store's agreed retention policy.
