Matching a gateway payment to the correct WooCommerce order

wordpress

Match a payment provider transaction to its WooCommerce order before fulfilling, refunding or correcting payment status. Use stable references and multiple confirming details so two similar orders are not confused.

01 Start with the store record

Open the order and note the order ID, displayed order number, timestamp, amount, currency and payment method. Some stores customise order numbers, so the visible number may differ from the underlying ID used in gateway metadata. Read the order notes and the transaction reference field where the integration provides one.

02 Compare the provider record

  1. Sign in to the merchant account actually connected to this store.
  2. Select the correct environment, live or test, and account if several businesses are managed.
  3. Search for the transaction reference or provider metadata containing the order identifier.
  4. Compare amount, currency, time and payment state with the WooCommerce order.
  5. Review whether multiple attempts, partial captures or refunds exist for the same customer journey.
  6. Record the confirmed association privately before making any financial or fulfilment change.

Is matching the customer's name enough?

No. Names, email addresses and amounts can repeat. A stable provider reference plus matching order metadata is stronger evidence. Use customer details only as supporting information, and do not expose them in public logs or screenshots.

Why are the amounts different?

Check currency, partial capture, partial refund, fees and whether you are viewing gross payment or net payout. A payout can aggregate several transactions and deduct fees, so it is not the same record as one customer's charge. Use the provider's transaction details for order-level reconciliation.

What if no order matches?

Preserve the provider reference and investigate checkout errors or a deleted order before creating a replacement. A payment without an obvious order should not trigger an automatic second charge. Ask the gateway developer or support to trace the metadata and notification history.

03 Verify the final action

After resolving the association, use the supported WooCommerce or gateway workflow for the actual transaction state. Confirm the resulting order note and provider event. Keep a concise audit trail explaining what was matched and why, while storing payment secrets and full personal data only in the systems designed to protect them.
