Use WHMCS reports to answer a defined operational question, then verify the report's date range, status filters and currency treatment. A forecast, an invoice total and received cash measure different things.
01 Build a repeatable report
- Open Reports and choose the report that matches the question, such as overdue invoices, credits, transactions or service inventory.
- Set the required dates and filters. Record whether the period refers to creation, due, payment or another event date.
- Review a small sample against the underlying client, invoice or transaction records.
- Use the report's Tools menu for the supported CSV or printable export.
- Store the export in an access-controlled location and label it with the report name, period and extraction date.
- Document any exclusions or reconciliation adjustments before using it for a business decision.
02 Choose useful operating views
Aging Invoices helps identify outstanding collections work, while Credits Reviewer helps examine adjustments. Service and domain exports support inventory reconciliation. Compare billing-platform records with actual provider accounts when investigating missing or orphaned services.
Use financial reports as inputs to the accounting process. Review refunds, fees, credit applications and currency conversion separately when the report does not include them in the way your ledger requires.
Common questions
Why does an income forecast differ from money in the bank?
A forecast uses expected recurring business, while the bank reflects settled payments and provider deductions. Reconcile against transaction and payout evidence.
Does the Sales Tax Liability report include every refund adjustment?
The WHMCS documentation identifies limitations involving partial refunds. Have the accounting owner reconcile the report with the complete refund and adjustment records.
Can support staff be restricted to selected reports?
Yes. Configure report access in their administrator role and test the resulting access instead of granting all reporting permissions.
Keep exported customer and financial data out of public links and remove temporary copies according to the approved retention policy.
