Investigate a paid domain renewal that did not reach the registrar

whmcs, domains-dns

A domain renewal is complete when the registrar confirms the additional registration period. A paid WHMCS invoice records the customer's payment, but a failed registrar request can leave the domain close to expiry.

01 Review renewal automation

  1. Open General Settings and Domains. Review Auto Renew on Payment according to the company's intended workflow.
  2. Check the domain's assigned registrar, registration period, expiry date, Next Due Date and recurring amount.
  3. Review the client's Auto Renewal preference, shown administratively as Do Not Renew, and the associated invoice history.
  4. Confirm provider balance and API access before the payment-triggered renewal is due.
  5. After payment, verify the registrar response and updated expiry date through the provider and domain sync.

What should I check when a paid renewal did not complete at the registrar?

Open the failed module action and determine whether the provider rejected the request or the result was merely delayed. Check the registrar for an already completed renewal before retrying. Resolve balance, term, eligibility or authentication issues, then retry the specific authorised renewal.

If manual renewal at the provider is necessary, record the confirmed result and reconcile WHMCS dates and queue state. Avoid issuing the same renewal twice because the invoice still displays an old expiry date.

02 Understand price and early-renewal differences

Automatic renewal invoices can use the domain's stored recurring amount, while client-initiated early renewals can use current catalogue pricing. Review both when changing domain prices or explaining a customer's quote.

Registry rules can restrict how early or for how many years a domain may renew. WHMCS interface choices do not override those rules. Verify the available term for the actual extension and registrar rather than promising a universal maximum.

03 Confirm customer communication

Ensure that renewal and expiry notices reach the authorised recipients. If the customer disables automatic invoicing, explain the remaining manual renewal responsibility. Keep domains with unresolved paid renewals on a monitored list until the provider confirms their new expiry.
