Using OX App Suite calendars, contacts and shared files

email

OX App Suite combines business email with calendars, contacts and tasks. Eligible productivity packages also provide online documents and cloud file storage. Begin with the applications actually enabled in your account, because an email-only package does not include every collaboration feature.

01 Set up your personal workspace

  1. Sign in through the approved webmail link and review your name, timezone and language. The timezone is especially important for appointments shared across countries.
  2. Open Calendar and create a test appointment. Include a clear subject, start and finish time, location or meeting link and the correct participants.
  3. Send the invitation and ask one colleague to accept it. Verify the resulting status and time in both calendars before relying on invitations for a large meeting.
  4. Open Contacts and create or import a small sample first. Check name, email and phone fields before importing a complete address book.
  5. If Tasks is enabled, create a task with a due date and completion status. Decide with your team whether tasks are personal reminders or part of a shared business process.
  6. If your package includes Drive or document editing, upload a test file and confirm how sharing permissions work before adding business-sensitive material.

02 Share deliberately

Choose named recipients and the least access they need. Viewing a document, editing it and managing its permissions are different capabilities. If a public sharing link is available, understand that someone who receives the link may be able to open it. Use expiration or access controls where offered and remove links when they are no longer needed.

03 Check device synchronisation

Mail configured with IMAP does not automatically configure calendars and contacts. Use the account's supported calendar/contact setup, such as the published CalDAV or CardDAV options where available. Create a test item on each device and confirm it appears in the intended account rather than a personal phone account.

How should OX sharing be reviewed when the team changes?

Before removing a user, review shared calendars, contacts, files and business records they own. Transfer required information using the available administration process and preserve records according to your organisation's policy. Deleting a mailbox is not a substitute for a planned staff handover. If an application is missing, check the purchased package with us before assuming the account is broken.
