Create and simulate a renewal price rule

hosting-suite, resellers

A renewal price rule chooses the source amount and adjustments used for eligible renewal quotes. Use simulation before activation so you can see which rule wins, how each period is priced and whether the result matches your customer agreement.

01 Create the rule

  1. Open Hosting Renewals, then Price rules and Add price rule.
  2. Enter a clear rule name, select the scope and currency, and choose the relevant service, client, group or product.
  3. Set the priority and any effective dates. Lower priority numbers win within the same applicable scope.
  4. Choose the price source and enter its required values.
  5. Review markup, fixed amount, policy discount and minimum or maximum totals.
  6. Select Review changes, inspect the comparison, enter a meaningful reason and confirm the save.

02 Choose the right source

Current service recurring amount bases pricing on the service's stored amount and period. Custom price and period supplies a separate source amount. WHMCS catalogue cycle price reads the product's catalogue price for the period. Exact cycle price table offers only periods with explicit amounts.

Catalogue pricing excludes setup fees, configurable options and WHMCS promotions in this workflow. Read and acknowledge that limitation rather than assuming a catalogue value is the customer's entire current package price. Decide what should happen when the catalogue lacks a selected cycle.

Which renewal price rule takes precedence?

The module considers applicable enabled rules in the service currency and effective date range. Scope precedence runs from service to client, client group, product, product group and global. A more specific applicable scope wins before priority is compared within that scope.

Adjustments can alter the source amount, and minimum or maximum limits can make a period unavailable. Existing issued invoices keep their original pricing, so changing a rule does not silently reprice an already-issued renewal.

03 Run a simulation

Select Simulate a service, choose an existing service and the calculation date, and optionally choose a future billing cycle. Select Run simulation. Inspect net amount, discount, future recurring amount and the named source for every relevant period.

Simulation creates no invoice and does not consume a one-time discount. Test examples from every scope and currency the rule affects, including a service with an existing recurring promotion.

04 Maintain an audit trail

Use the saved version history to review earlier configurations and compare a proposed restoration before confirming it. Give changes a useful reason, including the commercial decision or correction involved. If a quote is unexpected, inspect its winning source and scope before adding another overlapping rule.

05 Work through a pricing example

Suppose a service currently pays a monthly amount but you want an explicit annual renewal price. Decide whether the annual offer should come from a catalogue cycle or an exact term amount. Simulate both the unchanged monthly period and the annual period, then inspect whether an existing client-specific rule overrides the product rule.

Next test the same configuration for a service in another currency and for a date outside any promotional range. These checks expose scope or date mistakes that a single successful quote would miss. Save the expected results with the change reason. Use the live quote's tax-inclusive total for customer communication rather than presenting a simulation's pre-tax amount as the final invoice charge.
