Configure HostBill's outgoing mail with an approved sender and a delivery service you can monitor. Billing notices, password resets and support replies need a reliable route and meaningful failure reporting.
01 Set the delivery method
- Open Settings > General Settings > Messages > Outgoing mail configuration.
- Review Send Emails. This global control can block system email even when individual templates are enabled. Keep it disabled in a test environment that must not contact real customers.
- Set the system sender address and choose the supported mailer: a correctly configured local mail service, SMTP or an activated transactional-email module.
- For SMTP, enter the provider's exact hostname, port and required TLS mode. Select password or OAuth authentication as supported, using credentials intended for this application.
- For OAuth, complete the provider application and consent workflow and enter the required client and connection details. Preserve the redirect URL specified by the integration.
- Review mail-rate limits against your provider's sending allowance and normal invoice volume. Avoid a rate that creates a growing notification backlog.
- Check department-specific senders and template sender overrides, then send controlled examples of a system notice and a support reply.
02 Verify receipt and diagnose failures
Inspect HostBill's email history and the provider's delivery result. Test an external recipient and check the actual From and reply destination. Confirm domain authentication and sender approval using the mail provider's current instructions.
If HostBill reports success but mail does not arrive, look for provider rejection, deferred delivery, recipient filtering or an incorrect address. Record the message ID and timestamp so the delivery service can trace the specific message.
Common questions
Why do support replies work while invoice emails fail?
The department may use its own mail route. Compare global settings, template enablement, customer notification preferences and the sender selected for each message.
Should every email be copied to a general staff mailbox?
Review the information and access implications before enabling global BCC. Some messages contain account or billing details, so use an approved archive or restricted destination for the purpose.
